Registered Users

Registered Users is the backend attendee manager for one JEM event. It lets authorised administrators add or edit registrations, change attendance status, manage booked places and waiting-list promotions, resend status notifications, export data and print the attendee list.

Purpose and Access

Every row represents a registration linked to an existing Joomla user account and to the selected event. Visitors normally create these records through the event-registration workflow; an administrator can also add an existing Joomla user manually.

Access to this screen and its actions requires the JEM Manage Attendees permission (jem.attendees.manage). Configure it under Components → JEM → Settings → Permissions.

Status is not publication state. Invited, Not Attending, Attending and Waiting List describe a user's registration. They do not publish or unpublish the event.

Navigation

  1. In the Joomla administrator, select Components → JEM → Events.
  2. Find the required event.
  3. Select the linked number in the event's registered-users column.

The attendee manager shows the selected event's date and title above the list. Select Back to return to the Events overview.

Management Flow

Search by user and select a status.

Edit, change status, promote or remove.
5. Validate
JEM checks event, status and capacity.

Mail and audit actions run when applicable.

Search, Status Filter and Pagination

Select registrations with the first-column checkboxes before using an action that operates on existing records.

Edit Opens the selected registration. You can also select the attendee's linked name.
Set Not Attending Preserves the registration but records that the user will not attend. Released capacity can trigger waiting-list reconciliation.
Set Attending Confirms the selected registrations. Waiting-list records should be processed with the dedicated promotion action so capacity rules are applied.
Set on Waiting List Moves selected registrations to the waiting list. Shown only when waiting lists are enabled for the event.
Promote from Waiting List Confirms selected waiting-list registrations after checking available capacity. Shown only when waiting lists are enabled.
Renotify Resends each selected user's current registration-status email without changing the status. The JEM Mailer plugin must be enabled and configured.
Export Downloads a CSV based on the current attendee list and active filters. It is a direct file download; a pop-up window is not required.
Print Opens a component-only attendee list suitable for browser printing. Review the filtered result and pagination before printing.
Delete Permanently removes the selected registration records after confirmation. Use Not Attending instead when the response should remain in the event history.
Back Returns to the backend Events list. No attendee action is performed.

Registration Columns

Checkbox Selects the registration for a toolbar action. The header checkbox selects or clears the current page.
Name The Joomla user's full name. Select the name to edit the registration.
Username The Joomla login name. Searchable by selecting Username in the search control.
Email The Joomla user's email address. Displayed as a mail link.
IP Address The address recorded when the registration was made. Displays Disabled when IP logging is disabled in JEM Settings.
Registration Date The date and time when the registration was created. Formatted using the active Joomla language.
User ID The numeric Joomla user identifier. Links to that account in Joomla User Manager.
Status Invited, Not Attending, Attending or Waiting List. Authorised administrators can use its status control. Waiting-list promotion remains capacity-aware.
Places The number of places reserved by this registration. Important for capacity and waiting-list calculations.
Comment The optional registration comment. Shown only when registration comments are enabled in JEM Settings; long comments use a tooltip.
Remove Removes that individual registration. Equivalent to selecting the row and using Delete.
Registration ID The internal identifier of the JEM registration record. Useful for support and database tracing.
Renotify Resends the current status email for that row. Does not modify the registration.

Add or Edit a Registration

User Selects an existing Joomla user. Required. A duplicate registration for the same user and event is rejected.
Status Sets Invited, Not Attending, Attending or Waiting List. Waiting List is available only when the event permits it.
Places Sets the number of places booked by this user. The input uses the event's minimum and maximum places per user.
Comment Stores an optional note with the registration. Shown only when registration comments are enabled; maximum 255 characters.
Series booking Adds the user to eligible future occurrences in the same regular or custom-date series. Shown only when the event belongs to a series and series booking is enabled.
Send registration notification email Sends the applicable registration or status message after saving. Selected by default; delivery requires the JEM Mailer plugin and working Joomla mail configuration.

Registration Statuses

Invited The user has been invited but has not confirmed attendance. Does not consume confirmed capacity.
Not Attending The user explicitly declined or an administrator recorded non-attendance. Does not consume confirmed capacity.
Attending The user has a confirmed booking. Consumes the registration's number of places.
Waiting List The user wants to attend but is waiting for enough places to become available. Does not consume confirmed capacity until promoted.

Waiting-List Management

When the selected event has its waiting list enabled, an information panel displays available places, the number of waiting registrations and the active promotion mode:

  • Automatic, strict queue order: JEM preserves queue order and does not skip the next request merely because a later, smaller request would fit.
  • Automatic, fill available places: JEM may temporarily skip a request that needs more places than are available so a later request can fit.
  • Manual: administrators choose which waiting registrations to promote.

Manual promotion

  1. Filter the list by Waiting List.
  2. Select one or more waiting registrations.
  3. Leave Notify promoted attendees selected when JEM should send promotion emails.
  4. Select Promote from Waiting List.
  5. Review the confirmation showing available places and the total places requested.

Without a force option, JEM rejects a promotion that exceeds the available capacity. Force promotion beyond capacity is visible only to a component administrator with core.admin, requires an additional confirmation and records the operation as forced.

Notifications and Audit Trail

  • A genuine status change can dispatch the corresponding JEM Mailer registration message.
  • Renotify resends the current status message without creating a new status transition.
  • Promoted attendees are notified when Notify promoted attendees is selected.
  • If the JEM Mailer plugin is disabled, JEM displays a notice instead of silently assuming delivery.
  • When the JEM action-log integration is enabled, attendee status transitions and relevant administrative actions can be recorded.
  • A promotion may succeed even if a notification plugin subsequently reports a delivery error; JEM displays a warning so the administrator can follow up.

Delete or Set Not Attending?

Set Not Attending The user's response should remain visible and reportable. The registration is preserved with a non-attending status and its confirmed places are released.
Delete / Remove The registration record itself should no longer exist. The record is permanently removed, deletion notifications and plugin events can run, and released capacity is reconciled.

CSV Export and Print

  • Export directly downloads a CSV file named with the export date.
  • The CSV follows the active name/username search and status filter. Verify the downloaded row count when pagination is in use.
  • It includes attendee identity, registration date, places, logical status, the optional comment and an identifier field.
  • The CSV separator and enclosure follow the corresponding JEM configuration.
  • Print opens a simplified list containing the event title/date and attendee information suitable for browser printing.
  • Exports and printouts can contain personal information; protect them and delete temporary copies when no longer needed.

Practical Examples

  1. Select New and choose the existing Joomla user.
  2. Set the status to Attending and enter the requested number of places.
  3. Add a comment when comments are enabled, for example Booked by telephone.
  4. Leave the notification option selected and save.

  1. Set the cancelled confirmed registration to Not Attending.
  2. Review the waiting-list summary and filter by Waiting List.
  3. Select registrations whose combined places fit the available capacity.
  4. Choose Promote from Waiting List, keep notification enabled and confirm.

  1. Clear the text search and filter by Attending.
  2. Review the booked Places column.
  3. Select Print for a browser printout or Export for a CSV working file.
  4. Store and distribute the resulting personal data securely.

Troubleshooting

SymptomWhat to check
The registered-user count is not linked or access is denied Grant the administrator group the JEM jem.attendees.manage permission and verify access to the backend component.
No registrations are shown Clear the search, select All statuses and return to the first pagination page. Confirm that the correct event was opened.
A Joomla user cannot be added Select an existing user and verify that the same account is not already registered for this event.
Waiting List is unavailable Enable the waiting list in the event's Registration panel and save the event first.
A waiting registration cannot be confirmed Use Promote from Waiting List. Reduce the selected places if they exceed capacity; only a component administrator can force over-capacity promotion.
A registration email is not delivered Enable and configure the JEM Mailer plugin and Joomla mail settings. After correcting them, use Renotify.
The IP Address column says Disabled IP logging is disabled in JEM Settings. Consider the site's privacy requirements before enabling it.
The Comment column is missing Enable registration comments in JEM Settings. Existing empty comments remain blank.
The CSV contains fewer records than expected Clear the name/username search and select All statuses before exporting.
Not Attending users disappear from an attendance report The status filter is working as selected. Choose All or Not Attending when those responses must be included.

Technical Notes

  • The backend list view is attendees; the single-record editor is attendee.
  • Registration records are stored in #__jem_register and linked to one JEM event and one Joomla user.
  • Logical Waiting List status is represented by an attending registration with its waiting flag enabled; JEM's transition service presents and validates it as a distinct status.
  • State-changing requests require a valid Joomla session token and the attendee-management permission.
  • Selected registration IDs are checked against the current event before update, deletion, promotion or notification.
  • Status transitions dispatch mail and audit events only after the stored change has been validated.
  • Manual and automatic waiting-list operations share the same capacity and promotion policy.
