This guide is for frontend users who have permission to submit and edit JEM events or venues. The available fields depend on the site configuration and on your user permissions, so you may not see every option described here.
Before you start: log in first. The site administrator must grant the required frontend permissions and, for events, access to at least one category where you can create content.
Creating a New Event
In JEM frontend menus there is usually an icon or menu item for Submit Event. Opening it takes you to the Add Event form.
At the top of the form you will find Save and Cancel. Use Save to store your changes, or Cancel to leave the form without saving.
In JEM 5.0.0 the event form can contain these tabs:
- Event: main event details, description, and image.
- Extended: recurrence and registration options.
- Advanced: publication, status, access, online meeting, linked article, and metadata.
- Attachments: downloadable files, if enabled by the administrator.
- Links: additional event links, if enabled in the form.
- More: custom fields configured by the administrator.
Event Tab
The Event tab contains the main event data: title, alias for new events, date, time, category, venue, event type, contact, featured state, description, and image.
At minimum, you must enter:
- An event title.
- At least one allowed category.
If you cannot select a category, contact the site administrator. It usually means your user account, JEM group, or category permissions need to be adjusted.
You can also enter a start date, end date, start time, end time, venue, event type, contact person, and whether the event should be featured. Some fields may be hidden when there are no available values, depending on the frontend settings.
If the venue already exists, select it from the venue field. If it does not exist yet, you can save the event without a venue and assign one later, if your workflow allows it.
Event Description
Use the description editor to explain the event to visitors. The text can include formatted content, depending on the editor and content filters configured for the site.
Display behavior depends on the JEM and menu settings. Some list or module views may show shortened text, while the event detail page can show the full description.
Event Image
If image uploads are enabled, you can upload or replace the event image. Existing images can be removed from the edit form. JEM may show thumbnails in lists and larger images in detail views, depending on the image settings.
Editing or Copying an Existing Event
Open the event detail page from a frontend list or calendar. If you have the required permissions, edit-related icons are shown near the event, such as Edit and, where allowed, Copy.
- Edit changes the existing event.
- Copy creates a new event using the existing event as a starting point.
Always save your changes before leaving the edit page. If you copy an event, change the relevant details before saving so you do not create an unwanted duplicate.
Extended Event Options
The Extended tab contains recurrence and registration settings. If you are unsure, leave these settings unchanged.
Recurrence
Recurrence creates repeated events. JEM supports recurrence patterns such as daily, weekly, monthly, weekday, yearly, and last-day rules. You can also set a recurrence limit date.
Complete the event title, date, time, venue, and description before creating recurrences. Editing a recurring event can affect the event series, depending on which occurrence you edit.
Registration and Cancellation
Registration options appear only when frontend registration management is enabled by the administrator. The registration field can be disabled, enabled, or limited to a date/time range.
- Enable registration: allow or disable registration for this event.
- Registration from/until: set the date and time range when registration is open.
- Invited users only: restrict registration to invited users, if invitations are enabled.
- Allow cancellation: allow or disable user cancellation.
- Cancellation until: set the last date and time when cancellation is allowed.
- Maximum places: set the total number of places. A value of 0 means unlimited.
- Minimum places per user: set the minimum booking size per registration.
- Maximum places per user: limit how many places one user can book.
- Reserved places: keep places reserved for special use.
- Waiting list: allow a waiting list when the event is full.
- Request attendance confirmation: ask registered users to confirm attendance.
- Series booking: apply booking or cancellation to a whole event series.
- Single booking: allow individual booking or cancellation within an event series.
- Invited users: select invited users, if the invitation feature is enabled.
Advanced Event Options
The Advanced tab controls publication, public event state, online meeting data, article integration, access, and metadata.
- Access: choose which user groups can view the event.
- Status: publish, unpublish, archive, or trash the event. Non-publishers may have this field restricted.
- Event status: mark the event as scheduled, cancelled, postponed, rescheduled, or moved online.
- Ticket availability: set availability information such as in stock, preorder, or sold out.
- Online meeting URL and label: add a link and label for online or hybrid events.
- Publish up/down: control when the event is visible.
- Associated article: link the event to a Joomla article.
- Create article: create an article on save or let JEM choose the article category automatically, if configured.
- Metadata: add search-engine keywords and description. Usually the defaults are enough.
Attachments
If attachments are enabled, you can upload files such as posters, flyers, programs, or documents for visitors to download. JEM also provides display options for attachment layout, icon size, and frame when those options are available.
Links
The Links tab lets you add additional event links. These can be used for external information, ticket pages, online resources, or other related URLs. The available layout and ordering options depend on the administrator settings.
More Tab
The More tab contains up to ten custom fields. Their names, order, type, visibility, and purpose are configured by the administrator.
Custom field usage should be coordinated with the site administrator so frontend users enter the expected information consistently.
Creating a New Venue
If you have permission to submit venues, the frontend menu usually shows a Submit Venue icon or menu item. Opening it takes you to the Add Venue form.
In JEM 5.0.0 the venue form can contain these tabs:
- Venue: venue details, address, geodata, URL, color, type, and description.
- Extended: venue image.
- Publish: publication state, access, and metadata.
- Attachments: downloadable files, if enabled by the administrator.
- More: custom fields configured by the administrator.
Venue Details
At minimum, you must enter a venue name. You can also enter an alias for a new venue, street, postal code, city, state, country, latitude, longitude, website URL, color, and venue type.
If the venue has its own website, enter the full URL including the protocol, for example https://.
Geodata and Map
If the map service is enabled by the administrator, the form can show geodata tools. You can search for an address, copy address data, copy coordinates, and choose whether the venue should be shown on a map.
Entering accurate address and coordinate data helps visitors find the venue and improves map display.
Venue Description
The venue description helps visitors understand and find the location. It can include entrances, accessibility notes, parking, public transport information, or other practical details.
Editing an Existing Venue
Open the venue detail page from a frontend venue list or event page. If you have editing rights, an Edit icon is shown. Clicking it opens the venue edit form with the existing data.
Save your changes before leaving the venue edit page.
Extended Venue Options
The Extended tab contains the venue image panel. If image uploads are enabled, you can upload or replace the venue image. Existing images can also be removed from the edit form.
Venue Publish, Attachments, and More
The Publish tab controls whether the venue is published and which access level can view it. It also contains metadata fields. Usually metadata should only be changed when there is a specific reason.
If attachments are enabled, you can upload files such as venue maps, information sheets, posters, or flyers for visitors to download.
The More tab can contain up to ten venue custom fields configured by the administrator.
